AUCTION RULES

Conditions of Sale
All sales are final and "as is." There are no refund or returns. All accommodations are subject to availability and based on double occupancy, unless expressly stated otherwise. Items such as gift certificates and vacation accommodations must be used within one year of purchase unless otherwise specified. Harpeth Hall and the Harpeth Hall Parents Association (HHPA) are not responsible for any unredeemed gift certificates or unredeemed donated services under any circumstances. Buyers must abide by all restrictions and conditions that apply. The fair market value (FMV) of items listed herein has been provided by the donors. Any purchase in excess of the FMV may be tax-deductible. Values are not guaranteed by Harpeth Hall or the HHPA.

The Harpeth Hall Parents Association (HHPA) reserves the right to make substitutions of equal value if any component of a trip changes due to circumstances beyond the HHPA's control. Air travel, ground transportation, taxes, fees of any kind, meals, alcohol, gratuities and amenities are not included unless expressly stated in the trip description. The buyer is responsible for clarifying questions about any component of the trip prior to departure.

Trip Insurance & Cancellations
Trip insurance is the buyer’s responsibility. The HHPA agrees to make its best effort to deliver each trip as sold. If a trip must be canceled or changed for reasons beyond the HHPA’s control, the buyer agrees to select a comparably priced trip or a refund of the purchase price less any expenses incurred by the HHPA. No comparably priced trip or refund will be given if a trip is canceled by the buyer. Each donor’s cancellation policy is binding.

Accommodations & Air Travel
All accommodations are subject to availability and based on double occupancy, unless expressly stated otherwise. Airfare (international and domestic flights) and airport transfers are the buyer’s responsibility and are not included unless otherwise specified. Air travel is based upon the availability of promotional seating, which may affect the buyer’s preferred schedule. No miles can be earned from airfare purchased in this Auction, and no stopovers are allowed unless otherwise specified. You may not use your own miles to upgrade airfare purchased in this Auction. The HHPA is not responsible for expenses incurred or inconvenience experienced if a connecting flight is missed due to the late arrival of a regularly scheduled flight. Availability will be very limited on peak reservation demand days, which in the case of international travel, include Fridays, Saturdays and Sundays between April and November each year. Private air is subject to availability and restrictions as determined by the donor. Due to weight and space restrictions, all oversized luggage, including golf clubs, skis, and large suitcases, may incur excess baggage fees or may require separate shipment at buyer’s expense. Values are based on regular retail rates. Values by donors are exclusive of any promotions, discounts, or specials.

Successful Bids & Payments
Auction purchases will be paid in full at the close of the auction using the credit card on file. Conditions of sale require that buyers pay for their auction purchases no later than March 13, 2018. Payment must be made by Visa, MasterCard, or American Express.

Auction Item Pick Up
Pick up for auction items will take place at Harpeth Hall on Wednesday, March 14 (12-3:30PM) and Thursday, March 15 (7:30AM-12PM) in the Cayce Conference Room. Please use the side entrance located on the back porch of Souby Hall.
All buyers will be notified via email with instructions following the close of the online auction. Participation in this auction is limited to Harpeth Hall constituents including faculty, staff, parents, alumnae, and friends of the school. Local pick up of items by winning bidders is expected and encouraged. Under unusual circumstances, Harpeth Hall may agree to ship and item, however all shipping charges are to be paid by the winning bidder.

Buyer's Responsibility
All lots are non-transferable and non-refundable unless expressly stated otherwise. Lots cannot be exchanged or redeemed for cash. Trips are sold as described in the online auction brochure. Each trip is to be taken during the time(s) specified in the trip description. If extensions or date changes are permitted, they will be subject to the donor’s written consent and availability, and additional fees may be incurred by the buyer. Date changes may result in the loss of trip components. Special invitations are subject to the schedules of the hosts who have extended them and may not be available if dates are changed. Private homes must be used only as specified and must be returned in the condition in which they were donated. If ticketed events are canceled, tickets are non-refundable and non-transferable.
